Refund Policy

1. Overview

At ReconcileAI, we strive to ensure customer satisfaction with our AI-powered reconciliation service. This Refund Policy outlines the circumstances under which refunds may be granted for subscriptions and credit pack purchases.

2. Payment Processing

All payments are processed by Paddle, our Merchant of Record. Paddle handles billing, tax compliance, and payment processing on our behalf. As such, refund requests are subject to Paddle's policies in addition to our own.

3. Subscription Refunds

3.1 Monthly Subscriptions

  • You may request a refund within 14 days of your initial subscription purchase if you have not used more than 100 credits
  • After 14 days or significant credit usage, monthly subscriptions are non-refundable
  • You may cancel at any time; your subscription will remain active until the end of the current billing period

3.2 Annual Subscriptions

  • You may request a full refund within 30 days of your annual subscription purchase if you have not used more than 500 credits
  • After 30 days, you may request a prorated refund for the unused portion of your subscription, minus a 20% administrative fee
  • No refunds are available in the final 3 months of an annual subscription

4. Credit Pack Refunds

Credit pack purchases (one-time purchases) are generally non-refundable once purchased. However, exceptions may be made in the following cases:

  • Accidental duplicate purchases (reported within 48 hours)
  • Technical errors that prevented credits from being applied to your account
  • Service outages that prevented use of purchased credits for an extended period

5. Non-Refundable Situations

Refunds will not be granted in the following situations:

  • Credits that have already been consumed
  • Account termination due to Terms of Service violations
  • Change of mind after the refund period has expired
  • Unused credits at the end of a billing cycle (credits do not roll over)
  • Price changes or promotional periods that began after your purchase

6. How to Request a Refund

To request a refund:

  1. Email our support team at billing@reconcileai.com
  2. Include your account email and order/transaction ID
  3. Provide a brief explanation of your refund request
  4. Allow up to 5 business days for initial review

7. Refund Processing

Once a refund is approved:

  • Refunds are processed through Paddle to your original payment method
  • Processing time is typically 5-10 business days, depending on your bank or payment provider
  • You will receive an email confirmation when the refund is initiated
  • Associated credits will be deducted from your account upon refund approval

8. Cancellation vs. Refund

Cancellation and refund are different:

  • Cancellation: Stops future billing. You retain access until the end of the current billing period. No refund is issued.
  • Refund: Returns money for a purchase. Access and credits are revoked immediately upon refund.

To cancel your subscription without requesting a refund, visit your Billing settings in the dashboard.

9. Chargebacks

If you have a billing concern, please contact us before initiating a chargeback with your bank. Chargebacks initiated without first contacting us may result in immediate account suspension and make future refund requests ineligible.

10. Free Trial / Free Credits

Free credits provided upon registration are non-refundable as no payment was made. Free credits cannot be exchanged for cash value.

11. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated "Last updated" date. The policy in effect at the time of your purchase will apply to that transaction.
